Cluster the handoff cases
Group incidents by absent pending state, late completion, hidden rejection, revisit loss, and premature downstream use. For each group, record the transfer event, actual validation result, visible state, and action the interface invited.
Document readiness semantics
State which event means bytes are accepted, which means validation is complete, and which means a file may be used. Add fixtures for acceptance, rejection, and delayed completion with expected labels and controls.
Add a change trigger
Require the handoff fixtures when changing validation rules, processing queues, status reads, retries, or file-use controls. Assign an owner for state language and record how a delay remains distinguishable from failure or readiness.
What to carry forward
The learning record is useful when transfer and validation have separate meanings, representative timing cases are preserved, and each state has an allowed action. If the workflow cannot expose an intermediate state, document the bounded uncertainty and the safe action during the gap.
